Website & Database Management

We recently changed and upgraded our server and it caused some problems. Our National Administrative Site and all Department  websites had to be rebuilt. Post and Unit websites were rebuilt only for those Posts / Units that use their website for more than updating their database. This move helps to keep the database maintained in an easier fashion. Thanks to all for your patience and understanding.

*** For those that have a Post / Unit website: use the instructions directly below.

*** For those that do not have a Post / Unit website: Updating the database with new members, renewing dues, and printing membership cards & Per Capita Reports will now be done through your Department website or Regional website (for Posts not under Department jurisdiction). See the instructions at the bottom of this page (NOT posted yet – currently being constructed).

Post or Unit Database Administrators must have their Department or Regional Administrators grant them “Post Only” access to the Department or Regional site to maintain your Post or Unit database. Access must be granted before you can update your database information or print reports. Questions? Call your Department or Regional Administrator – the National Office will NOT be able to help you at this time, but they CAN give you the name and phone number of the Administrator for your Post or Department.

Locate your CWV Department website: (use the following web address)  (replace the X’s with the 2 letter abbreviation of your state)

For Posts not under Deparmtent jurisdiction – use the Regional sites: (use the following web address)  (replace the X’s with the 2 letter abbreviation for your region – NE, SE, NW, SW)

Locate your Auxiliary Department website: (use the following web address)  (replace the X’s with the 2 letter abbreviation of your state)

Department and Regional homepages look similar to the one below:

NOTE – The instructions below were made describing a Post or Unit website database. Use the Membership Administration tab on the left side of homepage after logging in to gain access to your Post information.

  1. Register as a User and Log In
  2. Update Post Info and Officers
  3. Add a New Member
  4. Update Dues Payments & Transmittals
  5. Marking Deceased & Delinquent Members
  6. Printing Membership Cards

The country has been divided into four regions – NE, SE, NW, SW – each with a Website Point of Contact (POC) that can assist if you have further questions about anything on your website. Click HERE to go to the Contact Us to send an email. List your name, and email, and “Website Help” in the Subject area. Please include a phone number in your message and you will be contacted by your Regional POC as soon as possible.

It is the responsibility of individual Posts and Units to maintain their membership database. Below are printable PDF instruction pamphlets on how to use the most common functions. Maintaining your database saves time and money for ALL Echelons of the CWV & Auxiliary – from your local Post and Unit to the National Department.
